Learning goals Clarify what a customer needs, prepare an accurate quotation and avoid confusing delivery indicators with agreement. Your output is a three-message practice conversation and an enquiry checklist.

Before you begin Allow 75 to 90 minutes. Use a notebook or a consenting learning partner. Do not message real customers as an exercise. The fictional prices below are for arithmetic practice only. No payment, order commitment or real delivery is required.

Begin with the actual question Read the whole incoming message before answering. A customer asking whether notebooks are available may need a specific size or quantity, not a long introduction to every product. Acknowledge the request, ask only the missing questions and explain what you will check. Short paragraphs are easier to follow on a phone than a single dense block.

For example: Hello, thank you for asking. Which notebook size and how many do you need? I will check current stock before confirming collection. This response is helpful because it identifies the missing information and avoids promising availability prematurely. Use the customer's preferred language where you can do so accurately; ask for clarification rather than guessing unfamiliar wording.

Confirm scope and total cost Once you know the request, check stock or service capacity and prepare a clear summary. Include the item, quantity, unit price where relevant, additional charges, total and collection or delivery arrangement. If the price is only an estimate, explain what remains to be checked. Do not hide a charge until the customer is ready to collect.

In the practice case, two notebooks at D120 each cost D240. A separately agreed D40 delivery charge gives a total of D280. State whether the customer can instead collect and pay D240. These figures do not specify tax treatment or a current local delivery rate. For real transactions, communicate any applicable tax and pricing information correctly after obtaining the relevant guidance.

Keep agreement distinct from message status A message appearing sent or delivered does not prove the customer accepted a quote. Read indicators depend on settings and the type of chat. Obtain a clear response confirming the relevant item, price and arrangement. If the customer changes quantity, update the summary before treating the order as agreed.

Use a simple order reference after agreement, such as PRACTICE 01 for a simulation. Record what was accepted and what still needs action. A customer's question, an unconfirmed cart and an accepted order are different stages. The order workflow in Part 6 will help keep those stages visible without treating every enquiry as a sale.

Use images voice notes and calls thoughtfully A useful image can answer a question about condition, colour or size, but it should show the actual item or clearly labelled example. Review the background for private information. Keep essential quantities, prices and dates in text even if you also use a voice note, so both people can check the details later.

Ask before starting a call if the customer is expecting text and the matter is not urgent. A long voice note can be inconvenient to hear privately. If a call resolves the issue, send a brief written summary of the agreed facts through an appropriate channel. Do not record or distribute the conversation simply because it concerns a business transaction.

Set expectations when you cannot answer If stock must be checked, give a realistic update time rather than silence or a guessed answer. If you cannot fulfil the request, say so plainly and avoid taking a deposit for unavailable work. An honest limitation helps the customer decide and prevents a later complaint about a promise you never had the capacity to meet.

Use a professional tone even when the customer is impatient. Do not argue publicly or forward their chat to another customer. Collect only the details needed for the current step. A stock enquiry does not require a photograph of identification or a full financial account number. A safe conversation can be both friendly and economical with personal information.

Guided exercise 1. Write an initial reply to a customer asking for some notebooks. Ask the minimum questions needed to identify the item and quantity.

2. Prepare the two-notebook quotation with collection and delivery choices. Show the arithmetic and clearly distinguish the two totals.

3. Write the customer's acceptance and your confirmation as a role-play. Include the chosen option, quantity, total and next step.

4. Draft a delayed-stock reply giving a realistic update time. Then draft a polite response when the requested quantity is unavailable.

5. Review the conversation for unsupported claims, unnecessary private information and ambiguous pronouns such as that one. Improve any line that could be misunderstood later.
