Part 8 of 10 | WhatsApp Business for Beginners

Learning goals Review account protection, distinguish safe device linking from a scam and inspect chat-backup readiness. Your output is a private access and recovery checklist with no passwords or recovery codes.

Before you begin Allow 90 minutes. Work on an account you own or are authorised to administer. Never display verification codes, login QR codes or security secrets to the class. You can inspect settings without adding a device or changing a credential. Do not deliberately log out, uninstall the app or erase data to test recovery.

Protect the phone and the business account Keep a private phone screen lock and install app updates from the official store. WhatsApp verification codes, account passwords, earlier two-step PINs and device-unlock credentials have different roles. A person claiming to help an order does not need any of them. Enter sensitive information only into the official process you deliberately opened.

WhatsApp's August 2026 security announcement describes a transition from the previous two-step PIN to a password and expanded security options. Your installed app may show different controls during rollout. Review Settings and Account or the current security area, following official Help for the options shown. Do not assume every learner must create the same six-digit PIN from an older tutorial.

Maintain recovery options you control Where available, verify the recovery email or other supported recovery method belongs to the business owner and remains accessible. Protect that account too. A recovery route that depends entirely on a lost phone can be difficult to use during an incident. Store sensitive recovery material securely outside public coursework and outside a shared customer chat.

If a helper sets up protection, the owner should understand the process and retain appropriate control. Do not use the helper's personal email merely because it is convenient. Record who is responsible for reviewing access, keeping the mobile service active and responding to an account-security alert. No safeguard guarantees recovery if the underlying number or account is no longer controlled.

Link only devices you intend to authorise Linked devices allow access from supported additional devices. Locate Linked Devices through the app's menu or settings and inspect the list before adding anything. Only open the official WhatsApp Web or official desktop application on a trusted device you control. A browser search advert or a code sent by an unknown caller is not a reliable linking destination.

Follow the in-app Link a Device process only when you understand which device is being authorised. A login QR code or linking code is an access credential, not a customer contact code. Do not send its screenshot to anyone. Device limits and staff-management features depend on the product and account; do not assume each linked device has a separate restricted role.

Review and remove unnecessary access Record each authorised device and its business purpose without publishing its security details. Check the linked-device list regularly and when a helper leaves. Use the official log-out control for unknown or no-longer-authorised devices. Removing a session stops that session's access but does not recall screenshots or exported information someone already copied.

If account compromise is suspected, stop sensitive activity and use WhatsApp's official recovery and security process from a trusted route. Review linked devices and the phone or provider account as relevant. Warn affected customers through a verified alternative channel if necessary. Do not pay a stranger promising guaranteed recovery or share a verification code to prove ownership to them.

Check chat backup separately from phone backup Find Chat backup under Chats or the corresponding setting in your installed app. Inspect the account or storage destination, last successful completion, included media and available protection options. A generic phone backup or an exported conversation is not automatically a restorable WhatsApp chat backup. Restoration depends on the supported operating-system and account process.

WhatsApp offers end-to-end encrypted backup options; review the current setup and recovery requirements before enabling or changing them. Protect the recovery method and confirm successful completion. Encryption does not prevent an authorised recipient from copying a message. Avoid unnecessary chat exports, which create additional files to protect. Do not delete originals or reinstall merely to see whether a backup works.

Guided exercise 1. List the types of credential involved without writing their values. Identify the official security options visible in your app or record the help page needed.

2. Inspect recovery contact ownership privately. Write checked or needs action on the course checklist, never the secret recovery information.

3. Review linked devices and identify each authorised purpose. If no extra device is needed, leave the account unlinked rather than adding one for practice.

4. Inspect chat-backup status and protection options. Record the last successful date or the specific reason it remains unverified, without exposing account details.

5. Write a lost-phone or account-compromise response naming the official recovery route, provider contact route and customer communication responsibility. Do not initiate the incident actions as a test.

Knowledge check 1. Should an unknown caller receive a login QR screenshot?

2. Does a general phone backup prove WhatsApp chat restoration will work?

3. Does logging out a device delete information already copied from it?

Answer guide 1. No. It can authorise access to the account.

2. No. Check WhatsApp's own supported backup and restoration process.

3. No. It ends access through that session, not every external copy.

Completion standard Complete an access review, recovery ownership check and backup-status record. Give each unresolved item a specific official follow-up action and answer all questions. No credential sharing, test lockout, device linking or destructive recovery experiment is required.

Sources and verification notes

WhatsApp Security features and account protection. Checked 15 September 2026. Official security and safety entry point. Use current in-app protection and recovery guidance rather than a third-party account-recovery service.

WhatsApp Privacy. Checked 15 September 2026. Explains privacy controls and the option to extend end-to-end encryption to cloud backups. Encryption does not stop an authorised recipient or compromised endpoint from exposing information.

WhatsApp Passkeys and account security update. Checked 15 September 2026. Official August 2026 announcement describes a transition from the previous two-step PIN to passwords and additional recovery options. The installed app determines which setup options a learner sees.

WhatsApp Help Link a device with a QR code. Checked 15 September 2026. Official search-index text checked; direct retrieval failed. Linked Devices and Link a Device are entry points. No fixed device limit or role-permission system is assumed.

WhatsApp Help Back up chat history. Checked 15 September 2026. Official search-index text checked; direct retrieval failed. Use current app Help for the correct operating system and backup method; no restore guarantee is made.
