What you will learn
- Prepare and rehearse a slide show
- Use Presenter View and navigation controls
- Export share and archive the presentation correctly
Before you begin
Use a practice presentation and non-sensitive sample information. PowerPoint versions can place commands differently, so use the ribbon search box when a named command is not immediately visible. Save before making major changes.
Rehearse the delivery
Practise aloud with a timer and adjust the presentation to the available time. Confirm names, figures and demonstrations, and plan where questions will be taken.
Check the room, display ratio, cables, audio and remote control. Store a local backup even if the main copy is online.
Present confidently
Start the show from the beginning with F5 or from the current slide with Shift+F5. Presenter View can show notes, time, navigation and the next slide on the presenter screen.
Use B to temporarily black the screen when attention should return to the speaker. Avoid reading every word directly from the slide.
Export and finish
Save the editable PowerPoint file and export a PDF when recipients only need a stable view. Inspect the exported file because fonts, links, media and animations can behave differently.
Use Inspect Document before external sharing when hidden notes, comments or metadata may be sensitive. Archive the final source, exported copy and permitted media together.
