Before you begin
Use a practice presentation and non-sensitive sample information. PowerPoint versions can place commands differently, so use the ribbon search box when a named command is not immediately visible. Save before making major changes.
Design readable tables
Use tables for precise values that the audience needs to compare. Keep headers clear, reduce decimal detail and emphasise only the rows or columns that matter.
Large spreadsheets rarely belong on a slide. Summarise the relevant information or split it into several focused slides.
Choose an honest chart
Column and bar charts compare categories, line charts show change over time and pie charts are suitable only for simple part-to-whole relationships.
Check labels, units and the source. Avoid a misleading axis range, unnecessary three-dimensional effects and decorative elements that distort values.
Explain the conclusion
Give the slide a title that states the main finding. Highlight the relevant series or value and make less important elements quieter.
A chart should support a spoken explanation. If the audience cannot identify the conclusion quickly, simplify the visual.
